Exhibitor check-in and booth setup
All booth construction and decoration must be completed within the move-in period specified by the organizer. If setup is completed ahead of schedule, exhibitors must properly store their exhibit items and equipment. The organizer will not be responsible for their safekeeping. If the booth cannot be completed within the designated time, exhibitors must submit an Overtime Application and obtain approval before continuing construction. All costs shall be borne by the exhibitor. For details, please refer to Attachment 9, Overtime Application Form.
During the move-in and move-out periods, only manpower or handcarts may be used to transport exhibits and booth materials. Vehicles are strictly prohibited from entering the exhibition hall. All logistics and transportation activities must follow the assigned time slots and access control measures.
All construction personnel must wear a safety helmet at all times while working inside the venue. For work at heights exceeding 2 meters, approved scaffolding with guardrails and safety harnesses must be used. Failure to comply will result in penalties imposed by the labor safety authority. Exhibitors are responsible for supervising their staff to strictly comply with venue rules, including no smoking, no alcohol, and no chewing of betel nuts. Any fines or liabilities arising from violations will be borne solely by the exhibitor.
During the move-in period (Dec 10–11, 2025), all decoration-related waste — including but not limited to wood scraps, pallets, styrofoam, carpets, paint cans, glass, posters, tape, and solvent containers — must be cleared by the exhibitor. The organizer reserves the final right to determine what constitutes waste. Exhibitors who leave the venue without removing their waste will be blacklisted from future participation.

If any unauthorized or non-compliant booth construction is conducted on-site—such as unauthorized installation of stages, balloons, hanging structures, or other promotional displays—the organizer reserves the right to demand immediate removal. Failure to comply may result in enforced removal or confiscation by the organizer, with all related expenses borne by the exhibitor. Exhibitors who refuse to comply after multiple warnings may have their on-site activities terminated, and no refund will be provided for any participation fees already paid.
The organizer reserves the final right to adjust booth structures, exhibit placement, safety compliance, and the overall visual standard of the exhibition. If a setup is deemed non-compliant, the exhibitor must make necessary corrections or reconfigure the booth, with all costs borne by the exhibitor.
After completing check-in, exhibitors’ appointed contractors must accompany the organizer’s on-site staff to jointly inspect and confirm the booth area and surrounding space before leaving the venue. Any leftover waste will be documented by photo and must be immediately removed upon request. Once the area passes inspection, the on-site inspector will initiate the Move-in/Move-out Inspection Checklist electronic form. Both parties must complete and sign this form jointly for the check-in process to be considered complete. For detailed procedures, please refer to Attachment 10, Explanation for Move-in/Move-out Inspection.
