1.1. Enterprise Exhibit Package

1. Exhibitors who select the Perfect Package, Rare Package, or Epic Package and wish to use a self-built booth must contact Ms. Green Huang ([email protected]) for further instructions. Please note that the package fee will remain unchanged regardless of whether the standard booth structure is used. The organizer will only provide the originally included basic electricity and power socket(s). The booth will be restored to raw space status, and no modifications or customization to the standard shell scheme setup will be offered. Exhibitors opting for a self-built booth must follow the organizer’s regulations, submit the required application documents, and comply with the specified submission timeline.

1.1.4. Self-Built Booth – Raw Space Package

1. Exhibitors who select the Legendary Package (6 units), Mythic Package (9 units), or confirm the use of a self-built booth must comply with the organizer’s regulations, submit the required documents, and adhere to the designated submission schedule. Required documents include, but are not limited to: Booth Layout Diagram, Construction Safety and Health Regulation Affidavit, and Interior Decoration Affidavit. Exhibitors must also thoroughly review the relevant regulations in Chapter 3. Booth Construction and Decoration Guidelines.

2. The above packages are classified as raw space. Only the floor area will be provided by the organizer—no booth partitions, display equipment, or furniture are included. Exhibitors must prepare all necessary equipment and furnishings on their own. The organizer does not provide any equipment rental services for self-built booth exhibitors.

1.3. Registration Process

1. Please carefully review and complete the following documents. Once signed, please return electronic copies (PDF or scanned files) to Ms. Green Huang ([email protected]). The required documents are as follows:

   • 2025 G-EIGHT GAME SHOW Collaboration Agreement (must be signed and stamped with the company’s official seal).

   • Collaboration Details and Exhibition Commitment Letter (to be filled out and personally signed by the designated contact person, with the company’s official seal).

   • Notification and Consent for the Collection and Use of Personal Data (to be personally signed by the designated contact person).

   • G-EIGHT Game Show 2025 Exhibitor Manual (must be signed or stamped with the company’s official seal on the last page).

2. After signing all required documents:

   1. Please send the completed electronic files (PDF or scanned format) to: Ms. Green Huang ([email protected]).

   2. Complete the exhibition fee payment according to the designated payment instructions.

3. The registration process shall be considered complete only upon fulfillment of both steps above.

1.4. Payment Terms

1. Exhibitors must remit a 50% deposit of the total fee within 30 days of signing this Agreement.

2. The remaining 50% balance must be paid by October 25, 2025.

3. For exhibitors registering after September 1, 2025, full payment is required by October 25, 2025.

4. Failure to remit the deposit and booth fees by the specified deadlines shall be deemed a forfeiture of participation rights. The organizer reserves the right to cancel the booth reservation without refund of any paid amount, and to reassign the booth at its sole discretion.

5. Currently, wire transfer is the only accepted payment method. The transferred amount must be received in full, and no bank handling fees may be deducted.

1.5. Cancellation Policy

1. Cancellations made before October 15, 2025 will be eligible for a 90% refund of the registration deposit.

2. Cancellations made before October 31, 2025 will be eligible for a 50% refund of the registration deposit.

3. Cancellations made before November 15, 2025 will not be eligible for any refund of the registration deposit.

4. No refunds will be issued for cancellations made after December 10, 2025, the official start date of on-site event setup.

5. All cancellation requests shall be deemed effective only upon receipt of written notice (via email) by the organizer.

6. Exhibitors who cancel their registration shall not request that any previously paid deposit be applied to other fees, transferred to other purposes, or carried forward to future events.

7. In the event that the organizer has already incurred production, rental, or administrative expenses due to the cancellation, the organizer reserves the right to claim reimbursement from the cancelling exhibitor for such costs.
